Academic Business Library Directors Charter

Mission Statement

ABLD was formed to provide a forum for directors of academic business libraries to discuss mutual concerns and share information. Interests include:

  • managerial and administrative issues and trends
  • cooperative initiatives to preserve and provide access to unique collections in business
  • opportunities to influence development of new products and services for the academic business library market and to influence contract development (vendor relations)
  • opportunities for informal collaboration and networking.

The core of the group consists of Business Libraries directors serving the preeminent Business Programs in the United States.  Individuals listed on ABLD Directory as of April 1997 who attended at least one annual meeting from 1995-1997, or who, when contacted, indicated an interest in continued participation. Individual membership is dependent on organizational affiliation, and a charter member who leaves their institution will need to petition the board for membership based on the criteria for new members. A person appointed to a position formerly held by a charter member will also need to petition the board for membership. The board will screen all petitions for new membership considering the criteria below as well as the total number of active participants, with a goal to limit membership to 50 members.  Admission to the group will be based on a vote of the membership.

Applicants for membership will be expected to provide information on these characteristics as part of their application. This information will be passed on to the full membership and form the basis for membership decision.

 

Procedural Items: (11/30/05)

 

The ABLD Board will initially screen all new applications for membership using the above information. The Board may appoint a member as a sponsor for the applicant.  That member may be someone who might be familiar with the institution that is applying.  Based on this initial screening and the Board’s judgment, the Board will forward to the full membership for their vote the applications for membership.  This vote should take place within 30 days after the Board has forwarded the application to the membership.  The ABLD President is charged with conducting the vote, tallying the results and announcing them to the membership and applicant.    

 

A two-thirds vote is required to admit a director from a new institution. A simple majority is required to admit a new director from a previously admitted institution.

Depending on the date of the annual meeting the Board has the right to invite to the annual meeting those institutions whose application might be in process. 

Continuing Membership

Removal from the membership list and listserv would occur automatically if a member changes jobs and thereby loses eligibility for membership

In order to maintain the vitality of the group, the Board may also recommend that non-participating members be removed, thus opening spaces for new members. Failure to attend the annual meeting for three consecutive years will be considered non-participation, but the Board may consider extenuating personal circumstances or an expressed interest in future participation in making its recommendations. The Board will present its recommendations for removal at the annual business meeting for discussion and a vote of the membership.

  • Three elected board members. The Chair and Recording Secretary/Chair Elect are elected at annual meeting for two year Board terms. The Vendors Relations Chair serves a three year term.

Responsibilities of Board

All Board Members

  • Review applications for membership. Board chair will initiate review of applications for membership. Applicants approved by all five board members may be added to the ABLD Listserv and invited to annual meeting. In cases where there is not agreement among the Board, application may be presented at the annual meeting for a vote of the membership. Membership may be approved by a majority vote of members present at the annual business meeting.
  • Present report of membership decisions to annual business meeting.
  • Assist host with annual meeting planning.
  • Act as nominating committee.
  • Propose changes to this charter as needed. Charter amendments may be approved by a majority vote at the annual business meeting.

Chair

  • Conducts annual business meeting.
  • Serves as liaison with other groups with whom we share interests, such as the Directors of Computing at Business Schools.
  • Coordinates Board review of membership applications.

Recording Secretary/Chair Elect

  • Records minutes of Annual Business Meeting. The position will also serve as Program Chair for the annual meeting during their term of office as Recording Secretary. 

Vendor Relations Liaison

  • Represent concerns of membership to vendors. If vendors are invited to the annual meeting the Vendor Relations Liaison will coordinate their presence with the Host of that particular meeting. 

Meetings (amended 11/30/05)

Meet annually at a member's institution (selection by volunteer method at annual meeting.) Meetings are generally in March, April, or May. Host determines agenda in consultation with membership and makes local arrangements. Other members may contribute to meetings through presentations, moderating sessions, etc. Registration fees for annual meetings are nominal and cover mailing and incidental expenses to the host institution. Meals and other expenses may be responsibility of attendees. Some time will be set aside on the agenda for a business meeting to elect new board members, select the next meeting site, and hear a report from the board on membership decisions and other business.

Attendance at annual meetings: Open to all members. Members are expected to participate on a regular basis but may designate an appropriate representative from his/her institution when unable to attend. Host may also invite guests who would not be eligible for membership, depending on expected attendance and available facilities. Such guests might include representatives from the host institution, representatives from neighboring libraries that serve an academic business clientele or other guests with an interest in the meeting agenda that year. Non-members in attendance will not vote on any proposals or Board elections.  The Board can invite “interim directors” of the core group at their discretion.  

Listserv (amended 11/30/05)

Membership on the ABLD listserv is open to members only. List owner may refer any inquiries about subscribing to the Board chair. Interim Directors of the core group as well as directors in the application process can be added to the group email list at the Boards discretion.
