ALA Midwinter 2002 Meeting

On Friday, January 18, 2002, some 34 librarians met at the Morial Conference Center in New Orleans during the ALA Midwinter conference to discuss work taking place in various institutions relevant to the management of licensed electronic resources. Tim Jewell of the University of Washington chaired the meeting.

The meeting began with introductions by all the participants. Following the introductions, Tim gave a brief history of the project and the events leading to the meeting. As the person responsible for maintaining licenses at the University of Washington, Tim explained that about two years ago he began working on a DLF-funded survey of how academic libraries are managing licensing information for electronic resources. What quickly became obvious to himself and his colleague, Diane Rosolowsky, he said, is that many different people are working on this problem and arriving at local solutions in isolation. Tim finished the DLF report and continued the investigation (see: Selection and Presentation of Commercially Available Electronic Resources: Issues and Practices).

Following the introductions and Tim Jewell's overview of the project, Nathan Robertson and his colleagues from Johns Hopkins presented a report on their local system, called Hermes. A copy of Nathan's powerpoint presentation is online. More information about Hermes is on the project Web site. Screenshots of the system were included in the presentation, but they are not available here. Sharon Farb of UCLA talked through a presentation on the system UCLA is building to manage licensed electronic resources. Due to technical difficulties, she was unable to show her powerpoint. (The good news, however, is the presentation is online.) Their system is called "Electronic Resources Database." Here is a link to the ERdb Web site instructions for data input instructions and another link to Sharon's powerpoint presentation. More information about the UCLA initiative is archived on this Web site.

Tim Jewell handed out information about the MIT Vera system and also some information about Penn State's Lib-Lion. Nicole Hennig of MIT offered us a link to the pre-print version of her forthcoming Serials Librarian article about Vera. Lib-Lion is Penn State's replacement for ERLIC.

The remainder of the meeting was dedicated to discussing Tim Jewell and Diane Rosolowsky's "Draft Plan and Discussion Paper: Terms and Definitions for Managing Electronic Resources". Participants agreed that it is a good starting point and that we would focus on a common set of metadata elements for the following three sections: Access, Identification and Licensing. It was also decided that a group for each of these sections would be created, and the three groups promised deliverables for the 2002 ALA annual conference.
