Disposal Guidelines for DS:
Mostly of historical interest
It might be helpful to understand what Desktop Services used to do
with desktop units for disposal when the capital equipment inventory threshold
was only $500. First because some of the considerations and process still pertain.
And second, because if equipment matches the current capital equipment threshold,
this information might be particularly relevant.
- Process the equipment considered to be of no further value to CUL.
- Conduct testing and determine functionality.
- If too broken, send to trash. CUL Facilities has an area for such
materials.

- If working:
- Create specifications list for Sharon Wargo (CUL Facilities) so
she can post useful information. Ideas of things to include: brand/model
numbers, serial numbers, HD size, RAM, processor type and speed,
notable technologies (e.g. SCSI HDs), etc. If it's a peripheral,
note how last used (hardware attached to, OS used, etc.) Note any
broken or troublesome elements. (Information that tries to answer
the question, "What would you want to know about this item
if you were in the market for it?") If possible, communicate
approximate current street value, and indicate if there are folks
you know who may have an interest in the used equipment. This can
include letting Sharon know about appropriate email lists.
- Wipe data (hard drives).
- Send to CUL Facilities (Sharon Wargo) for "disposal".
- Update the inventory information related to the equipment considered to
be of no further value to CUL.
- Update departmental inventory information. DS maintains a "top
level" inventory of all CUL desktop computers as part of our responsibility
in managing that equipment. Units maintain a "detailed" inventory
of CUL desktop computers in their areas as part of their responsiblities
in managing that equipment. (The idea is to associate inventory maintenance
with the unit that specified, bought, deployed, managed, and arranged
service for the equipment.)
- If it is capital equipment (even if not tagged!), must let CUL Accounting
(Susan Bristol) know whether it is sent to CUL Facilities (Sharon Wargo)
or being trashed. (If the item cost more than $500 when it was bought,
it's capital equipment.)
