Documentation Committee Meeting Minutes
December 10, 2003

Not Present: Carmen Blankenship, Kizer Walker

Mary Patterson rotated off the Committee. We thank her for all her help over the past two years. Ida will take over coordinating the Public Services Forms.

1) MyContents Help
Ida mentioned that Amy Blumenthal was interested in knowing who was in charge of MyContents Help, MyLibrary or the Documentation Committee. Thad explained that the Committee has access to some MyLibrary Help pages, but not MyContents, and that John Fereira usually handles any changes to that page. Thad suggested that Amy contact Angela Horne regarding MyContents Help. Ida will let Amy know.

2) Catalog Help Reorganization
Ida presented existing and proposed versions of the Catalog Help TOC. The major changes would involve the current category, "Patron Information and Requests." She proposes breaking that category into "Catalog Requests & Services" and "Patron Info." Thad and Lynn agreed with the proposed changes. Ida will solicit opinions on the proposed changes from Carmen and Kizer through e-mail.

Ida also asked that we all go through the Catalog Help pages and look for misspellings, bad formatting, and so forth. The pages were divided up as such, by category:
· Ida will work on "Cornell University Catalog"
· Lynn will work on "Advanced Search Features"
· Thad will work on "Search Types"
· Kizer will work on "Patron Information and Requests"

Any pages that are edited should be sent to Thad or Ida for uploading. We would like to have them completed by the next meeting, in February.

3) Future changes
Lynn, as liaison to the Gateway II Committee, reported that Maureen Morris recently spoke with Thomas Richardson, Director of Web Communications. Richardson is evaluating Cornell's web presence, including CUL's, and that may impact the Gateway Help pages in the future.

Lynn also reported that a request has been made to Gateway II to include "Journal Abbreviations" to the "How do I find…" pull-down menu on the Gateway. If this goes through a new Help page will need to be created.

4) Deleting Outdated Files
We discussed whether or not to continue the practice of saving old Help pages. Ida reported that Maureen Morris, Fiona Patrick, and Amy Blumenthal are in favor of purging the server of outdated pages. We agreed that outdated pages should be removed from the server, but there isn't consensus on whether they should be purged completely or whether there should be some sort of method for archiving. Lynn proposed creating an Archive folder on the server where old files can reside for a certain period of time, while Ida suggested a method of saving the files to disks and making them the property of the Committee. Ida will ask to speak with the IRPC Steering Committee about this issue.
