Documentation Committee Meeting Minutes
May 12, 2004
In attendance: Ida Martinez (Chair), Gail Steinhart, Kizer Walker, Carmen Blankinship, Lynn Thitchener
Old Business:
- Ida has fixed the metadata for the Wireless Access page so that it is now searchable by the keywords "wireless" or "redrover."
- Ida has removed information about the number of journals held at Cornell from all pages except the Overview and Clarification page. See discussion below.
- In consultation with Fiona Patrick, Ida has added "Copyright" and "Intellectual Property" to the Glossary section of the Help pages. The Intellectual Property definition includes a link to the WIPO (World International Property Organization) Website. The Copyright definition includes links to the US Copyright Office and the Cornell Copyright Clearance Center.
- Ida announced that Bob Kibbee has created a page for Gateway Help with information about Z39.50 Connections Settings for Endnote users. It is linked from two places -- the main Gateway Help page, under Technical Support, and on the CU Library Catalog page (since the Help link from the catalog goes directly to this second-level page). Ida will add the term "endnote" to the metadata so that the page can also be found through the keyword search feature.
- Ida announced that she and Lynn have completed the revisions to the MLA Citation Style page, however, when she attempted to upload the page, the formatting of the hanging indent was lost. Lynn used a stylesheet property to create the hanging indent. She will ask Maureen Morris for some advice, and may revert to using the <pre> tag to preserve the hanging indent, if necessary.
- Ida announced that she will work with Amy Blumenthal to add some information to the Cookies page about enabling cookies in various versions of Netscape.
New Business:
- Lynn reported that the Gateway Committee is currently working on a new design for the Gateway subpages. More on this after the June GC2 meeting with Carlo DeMello.
- We renewed our discussion about the look of the Help pages. Ida reported that Gateway Committee Chair, Maureen Morris, will ask the programmer, Paul Houle, to remove the copyright date (now, several years old) from the footer of the page. As far as making any other changes to the template, we will need to wait until the Gateway Committee has made some decisions about the design of the Gateway subpages.
- We also continued our discussion of the Overview and Clarification page. We concluded that statistical information about the library holdings was not appropriate for the Help pages. Ida will create a draft of a new page, deleting the first section, for review at the next meeting. Lynn reported that she had spoken with Maureen Morris about whether it may be more appropriate to have some of this content moved to the About the CU Library page. Maureen agreed to put it on the agenda for the next GC2 meeting.
- Ida mentioned that the Gnu.zip pages need to be reviewed. Gail volunteered to do this.
Future business:
- Ida mentioned that we need to do an overhaul of the metadata keywords to ensure that the keyword search is retrieving relevant results. She will divvy up the help pages to assign to committee members at a future meeting.
- Ida mentioned that the Encompass pages will need to be reviewed sometime in the near future.
- Ida announced that she will be rotating off the committee in a few months. Over the summer, Lynn will become the cochair, and be given access to the server. Ida will provide training on the procedures for uploading pages and on running the MakeKeyword index.
