1. Introduction of New Member: The Documentation Committee welcomed Ida Martinez to the group and thanked her for volunteering to join us. Ida is Library Fellows and is currently working in OKU Reference.
2. Terms and New Co-Chair: At the request of IRPC Steering, Kornelia asked the members for their dates of joining the committee:
Lee: joined in January 2000; This was Lee's last meeting.
Kornelia: March 2000
Mihoko: March 2000
Mary: October 2001
Jaime: February 2002
Thad: February 2002
Ida: September 2002
Since Lee is leaving the Committee, we thanked him for his work as a member and co-chair and elected Thad Dickinson for co-chair with Kornelia. Kornelia will ask Maureen Morris and Paul Houle for access to the help pages for Thad.
3. Procedures for updating Help: Kornelia distributed the new procedures for updating Help. Lee will send Kornelia the procedures for working with the Doc. Com. staff page.
4. Recent Help pages updates: Kornelia summarized the recent updates to Help:
Tthe MANIFEST file has been updated and the MakeKeywordIndex file has been run, which now makes the new MyLibrary page searchable.
Mann IITS has updated the Problem Report form.
Kornelia included a link on the TOC to the Borrow Direct Gateway page but since the Gateway is not searchable, the page does not come up when a search is done on help. We debated how to fix this problem: include a short separate page on Borrow Direct in Help which then connect to the GW page or include a short paragraph on the ILL page and make the link on the TOC go to the ILL page only. We decided that the second choice seems better. Mary will send a short blurb on Borrow Direct to Kornelia, who will edit the page.
5. Items in progress:
A. Print Documentation:
1. Bookmark--Kornelia checked with the Gateway redesign group on what bookmark they would like to see for the new Gateway. The suggestion was to use the one already being used for the Library Guide. Kornelia contacted Publication Services to ask for the files and for permission to use the book image. Permission for the image was given by Judy Burns. One possibility was to use the bookmark as it appears in the Library Guide but it is very expensive and would have to be printed out of house. Kornelia presented the Committee with a bookmark that uses the image but can be printed with our regular documentation in-house. The committee approved it. Kornelia will take it back to the Gateway redesign group for feedback.
2. Catalog Quickguide--Kornelia has updated the html version online and the word file. She will update the pdf when she gets Acrobat on her machine and send the word file to Mary.
3. MLA Guide--Mihoko updated the html and word files. Mihoko will send her final word file to Mary.
4. APA Guide: Jaime updated the word file to reflect the html file. Ida has been asked by OKU Reference to work on updating the guide as well. Ida and Jaime will work together on the final html and word files. All future requests for help updates should be discussed with the Committee first.
5. FindArticles: Thad updated the word and html file. Thad will send his final word file to Mary.
6. E-Reference Quickguide: Mary will update the guide for our next meeting.
