Workflow procedures

 

Thad shared some information from Mihoko describing Web page creation/review procedures used in the past.  We decided to use a modified version of these procedures:

 

ü        Committee members will volunteer to work in creator/editor pairs for specific web page creation or editing tasks.

ü        One person will create or make changes to existing pages and the editor will review the final product and send it back to the creator.

ü        Creator will send the final product to be posted.

ü        Completed task will be announced at the next meeting with a request for comments.

 

 

makepage.html

 

We discussed whether it was preferable to use makepage.html or to use an existing page (deleting contents) as the basis for new pages. We decided to use "makepage" and evaluate the relative merits of this tool at a later date.

 

Footers

 

Thad mentioned that we should never edit the footers. He also discussed some anomalies he was seeing with the new footers. Following the meeting, Thad forwarded an email from Maureen Morris explaining that the pages are controlled by style sheets -- when an edited page is sent back up to the server the stylesheet will kick in and the new look will be added. Maureen also mentioned that currently there is a problem with the footer page -- any time one page is edited, the 'date last updated' will change on all the Help pages.

 

Back copies

 

When there are major revisions made to a page, Thad or Jamie will archive the older page. If the changes are very minor, we won't archive the earlier page.

 

Page Updates/On-going Work:

 

·          Glossary:

 

Ida has completed revisions to the Glossary, reviewing old entries and adding new terms (CUWebLogin, BorrowDirect, etc). She invited the group to look this page over and send any suggestions to her.

 

·          TOC:

 

Thad has made some cosmetic changes to the TOC, improving the spacing between categories.  It looks much better.

 

·          Streaming Video for Catalog searches:

 

Lynn recommended that we add two additional links for this streaming video:

 

o         Under "Finding Specific Types of Materials", next to the link for books

o         On the Finding Books page,  following the list of search types.

 

 

 

 

·          Encompass:

 

Ida reported that Sarah Chandler will make any necessary revisions to the Encompass Help pages. Sarah will also take care of uploading the pages to the Library Gateway e-Reference Collection Help page.  There are two problematic links on this page:

 

ü        "Search guides for selected e-Reference Collection Resources"

 

This link includes only 3 guides - one for OCLC, one for NetLibrary and one for Washington Alert. CUL no longer subscribes to Washington Alert, and the OCLC and NetLibrary guides may well be outdated. The general consensus is that this type of guide is outside the scope of Gateway Help. Thad will remove the link from the e-Reference Collection Help page. Item can still be found through a keyword search in Gateway Help. IRPC will be notified.

 

ü        "Printing and downloading from Telnet e-Reference Collection"

 

Currently, the only telnet database we have is Telnet Voyager. Ida will review this document for any information that may still be useful for Telnet Voyager.

 

Thad will move this link to the "CU Library Catalog" menu page.

 

Other page updates/revisions/corrections

 

·          Ida reported on a suggestion she received from Sarah C. to add information about CUWebLogin to a page on proxy server problems:  The page is under Technical Support : Resolve Errors and Common Technical Questions: "I have set up a proxy server according to instructions but it still doesn't work. What can I do?"

 

Jamie will check with Holly M. about this.

 

·          Ida volunteered to go through all the web pages to be sure that the links across the top are consistent. Currently, some provide a link back to "Help", and some to "Gateway Help"; some identify the page you are on and some identify the previous page, etc.

 

·          Ida mentioned that the page on Wireless Access is seriously outdated. Lynn volunteered to revise this page. Ida will review the edited page.

 

·          Ida volunteered to create a page for "Finding Video and Audio Recordings". Lynn will edit.

 

·          Safari:

Holly mentioned to Jamie that Safari should be added to the page on "supported browsers". Jamie volunteered to do this. Thad will review the edited page.
