Documentation Committee Meeting Minutes

Announcements:
Ida shared an email from Sarah C., currently working from
home, regarding where things stand with Encompass Help. Briefly:
- Sarah is working on the FAQ's and will share them with the Encompass team
soon. At this point, the FAQ's will all be on one page with anchors for
questions and answers, rather than linking to separate pages for each FAQ.
- She will be adding a line for Find Databases/Find Articles to the existing
TOC (under Research Tools) on May 19. If she has any trouble doing this from
home, she will let us know.
- She requested help with formatting the internal TOC for Find Articles/Find
Databases. Thad will help with this.
- She is working on the technical pages and will share those when they are
ready.
- GC II has prepared a new look for the Gateway homepage starting May 19 --
there will be links to the new system and an announcement. Also starting on
that date, when users connect to the existing e-Reference page, a message will
appear about the new system (along with a warning that the old one will go
away in August).
- Problem reports sent from the Encompass pages will clearly indicate that
the user is on the Encompass page rather than e-Reference.
Kizer was introduced to the members present. Thad briefly discussed some of
the task member's roles: Briefly, Thad is the chair; Jamie is the co-chair. Thad
and Jamie share responsibility for uploading the pages that have been
created/edited. Jamie also maintains the manifest file (keyword index to the
Help pages). Carmen Blankinship is the Access Services liason. Mary Patterson
manages the CUL publications.
Page Updates/On-going work:
- Jamie presented the Safari browser page.
- Ida presented the page on finding Video and audio recordings. This
page has been added to the "Finding Specific Types of Materials" under
Research Strategy and Process. Since the URL was changed, Jamie will need to
speak with Maureen about changing this on the Gateway template to have it
appear under the "How do I Find:" drop-down menu on the Gateway. The older
version will be archived. Jamie will remove the older version from the
manifest file.
- Ida mentioned that a link to a page she created, Library Annex requests,
has been added to the Library Services suite on the Gateway.
- Jamie reported that, after consulting with Holly M., she added a blurb
about CUWebLogin, including links to the CUWebLogin page, to the FAQ, "I have
set up a proxy server according to instructions but it still doesn't work.
What can I do?"
- Lynn presented the revised Wireless Access help page. The earlier version
will be archived.
Other items:
- Based on our discussion last month, Thad has removed "Search guides for
selected e-Reference Resources" from Help. We no longer subscribe to one of
the databases, Washington Alert, and the other two guides, NetLibrary and OCLC
Web, are out of date. He sent an announcement to IRPC to alert people that
these had been removed and received one response with questions about whether
we will be updating the Netlibrary guides and a suggestion that we might add
links to other guides of this type that have been created by unit libraries.
Discussion about this issue centered on whether it is advisable to create
database guides for databases that have their own Help systems, such as
NetLibrary, and, if so, whether creating these guides is within the purview of
the Gateway Documentation Committeee. Thad will present the question to IRPC.
- Ida reported that she tried makepage and discovered that the
metadata formats incorrectly. Maureen advised us not to use makepage.html
until Paul Houle can fix it. This is a low priority for him right now. For
now, we will copy and paste from existing web pages to create new pages
until we get the word from Maureen that makepage is in good shape. Ida
will make changes to our Creating and Editing Gateway Help Pages document to
clarify procedures.
- Ida reported that the Bibliographic Management Database Working Group
would like to have a web page they are developing linked under Research Tools.
Committee agreed to provide this link once the page has been completed.
- Thad reported that he received two suggestions for updating the How to
find Dissertations page created by Kornelia Tancheva. He will forward the
suggestions to Lynn and she will update the page.
- Thad will send a message to IRPC to announce the new page on Finding
specific types of materials: Video and Audio Recordings.
Postscript: Members of IRPC suggested that the title of the page,
"Finding video and audio recordings" is misleading for those who might be
looking for musical recordings. Thad proposes that we change the title of the
page to "Finding video and non-musical recordings."
Thad will take a look at the music page

to make sure it's up-to-date.
