1. IRPC Retreat:

Thad reported that the arrangements have all been made. There will be 3 flipcharts with markers in the room for the breakout/group work. There is a blackboard for the speaker. There will be a projector and a back-up laptop in case his in incompatible. The program has been printed. The evaluation form has been printed. There are no additional handouts for us to provide.

Kornelia will be at 401 Clark Hall at 8:30 am to open the room and meet with the caterers. Tony and Virginia will be there at 8:30 am to bring supplies. Thad will walk over with Dr. Lisles at 8:30 am.

Lance will send another email message reminding people to attend the Retreat via IRPC and CUL Lib both today, Friday, and Monday morning.

Jill Powell will bring a digital camera to take some photographs which may be used in future publications or public relations.

Expenses to date for retreat: budget = $1,500

$150 refreshments, $1,000 honorarium, $125 room (+breakfast), $100 transportation

2. Idea Exchange Forum:

Tony reported that there was tremendous favorable informal and anecdotal feedback from the last exchange forum on registration. People felt it was time well spent, and an incredibly productive forum. The next one should be as a follow-up to Monday’s retreat on Assessment. Tony will talk to Linda Bryan and ask for the best date in mid-April. There was discussion if a survey being done by Tony and Beth Katzoff as part of the Priorities Objectives Information Fluency Team should be done first, and if the findings should be shared at the exchange forum. All agreed that they are two separate events, and they should be handled separately.

3. Library Technology Fair:

Tony reported that again, in August, there will be a Library Technology Fair and called for participants. The group needs to decide by April 15 th if they would like to host it again. The group agreed that having it in the Libe Café in Olin was an excellent venue, as it is a very visible location. Again, there will be “door prizes” or “coffee coupons” for everyone that attends. Anne and Lee will provide funds for the refreshments. Last year the budget was approximately $300; with 6 libraries and 2 service organizations participating. Publicity included: an advertisement in the Cornell Daily Sun.

4. Workshop Registration System:

Kornelia reported that the Evance Company, the maker of the registration software that Mann Library uses, came to campus and gave a presentation. Peter Hirtle and Tony Cosgrave attended. The cost to add additional calendars to Mann’s registration system is $600 for each calendar, on top of the $3,000 that Mann has already paid for the initial system, plus 18% maintenance. Many in the group were interesting in using this registration system. Tony mentioned that although the present registration system does not have every single feature mentioned at the exchange forum, Evance is working on specific upgrades to comply with Cornell University Library requests. If enough unit libraries are interested, the question was made if Central Administration would pay for the system. Kornelia requested that unit libraries get back to her by April 15 th to gauge the interest in using Evance as a CUL-Library-wide system.

Next steps: Action: Kornelia is going to talk with Linda Bryan to find out if she is interested. Kornelia will also contact ILR to see if they are interested in this registration system.
