IMG Review Group Recommendations (Nancy McGovern)

1: IRIS Cabinet agendas should be available in advance on the IMG listserv (IMG-l@cornell.edu) so that non-Cabinet IMG members have the opportunity to provide input into agenda items and follow along on issues.

2: Cabinet minutes should be made available on IMG-l so that Cabinet efforts are transparent to IMG members.

Status : Cabinet suggested combining these 2 recommendations. Cabinets members are taking turns documenting action items at Cabinet meetings and posting those action items to IMG-l, along with carry over agenda items for the next Cabinet meetings. All IMG members should feel encouraged to provide input for Cabinet discussion and IMG agendas, feedback on action items, etc. Cabinet proposal accepted and in place.

3: Periodic updates from IMG members should be provided on IMG-l rather than in IMG meetings to use meeting time more effectively.

Status : Cabinet endorsed this recommendation.

Suggestions : There could be a template for providing updates. Kim LaMorte could coordinate updates from IMG members using IMG-l. The IMG steering committee will work with Kim to define a template for updates.

4: IMG should meet quarterly rather than monthly.

Status : Cabinet endorses this recommendation. There will be a meeting in Feb 2005 then quarterly from April.

5: Agendas for IMG meetings should be provided well in advance with time for IMG input.

Status : Kim LaMorte should post final agendas to IMG-l one week before quarterly IMG meetings. Accepted.

6: IMG meetings could be thematic.

Sample topics: What’s happening at Uris with recent changes in collecting, etc.? What are the policies, procedures, implementation implications for the Patriot Act for IRIS/CUL? Where is the appropriate venue for discussion of CUL policies and procedures?

Status : Thematic portions will be no more than one hour of the meeting. In addition, non-Cabinet IMG members will be invited to Cabinet meetings for topical discussions when relevant.

7: Based upon the scope of the agenda items, IMG members may need to be in attendance for some items and not others, as appropriate.

Suggestion : Organize the agenda items to put common items first, e.g., personnel and management issues, student supervision; and special items last, e.g. items specific to Olin, Uris, Kroch operations, facilities.

Status : Recommendation accepted. Agenda topics could draw IRIS staff in addition to IMG members.

8: There should be a steering committee to develop the agendas for quarterly IMG meetings.

Suggested logistics for this recommendation : The steering committee would consist of at least 3 not more than 5 IMG members who are representative of the various areas of IRIS. Planning for the agenda could occur by email if the members of the steering committee prefer, but would not require more than one meeting. Members should be appointed for 1 year (or 4 meetings) but to get things going and for continuity, one member should be appointed for two years. IMG should invite regular updates from Desktop Services; HR; Facilities; and other CUL units. Representation: There should be 5 members with rotating representation for: a unit library (FAL, Music, Africana, ILR, JGSM, Hotel) IS, Asia, Preservation & Coll Maintenance, and one other (for IRIS Admin, Instruction, or Collection Development) plus a Cabinet liaison.

9: At least one IMG meeting per year could be held outside Olin – e.g., Uris (Tower Café on a Friday), Fine Arts, Africana (when it reopens), the Annex.

Status : Cabinet endorsed this recommendation. IMG accepted with note that meeting venues should be physically accessible so all IMG members can easily attend.

IMG membership: Current definition: IMG consists of Cabinet members (direct repots to IRIS AUL) and IRIS managers who are direct reports to Cabinet members. Members to be added: John Marmora, Joel Copenhagen, Michele Brown, Susie Cobb, and Bethany Silfer.See Current list.
