Susan reviewed the list of 600 duplicate patron records that Sara checked last week. All but a few (less than 20) were for extramural records that also had an active PE staff record. At the 3/6/00 meeting, we made the decision to EXCLUDE these in Voyager since the staff member would use his/her active staff ID instead of the paper extramural ID.

We agreed that we would migrate only active patron records UNLESS there are active circulation data attached. If the expired record has active circ records, we will migrate them as well. Pete will run a test to see if he can identify how many of these we will have.

Sara will check the non exmu records with Univ. Human Resources to see if there is some other problem that can be solved prior to Voyager implementation. She will return the report to Pete after checking.

We agreed that we would continue putting the department code in one of the address fields. We checked to see if this information migrated and it did so we'll continue to pull that information from Peoplesoft. It helps when there are address problems.

Peter confirmed that he will contact Lydia about the patron accounting purge and printing the report for units.

We confirmed that we need to add the "CU" prefix to all records created by Olin 101 or Mann Circulation. This is needed to distinguish records during weekly updates as well as to send only Registrar created student records to the Bursar. Currently, the Bursar cannot accept on-line transfers from any records we create--their system is based on the Registrar file. Peter has an "expiration" SIF he will use to test expiring staff and faculty records. He has some questions about the effect on reports and will check with Lydia on how the report queries will be affected.

SUNY (used only for Statutory SUNY patrons)
PRIV (used only for NY state residents using statutory libraries)
SPEC (used only to migrate reserve or other special pseudo patron cards that have active circ data at time of migration. We will delete these through revised workflow).

Susan contacted Thomas Wakula from the University Registrar's office to see if he would like to meet to talk about the student interface. He would very much like to meet with us. Susan will contact Lynne Personius about how we go about setting this up.
