Voyager Access Services Implementation Committee
Minutes from February 23, 2000

Data Migration

Susan asked if there were any additional changes to the item condition document. We heard from Endeavor that pre 6.2 Lost and Missing charges to the old pseudo-patrons won't migrate but the item condition will. Susan will update the chart for this. Other than this one change, everyone agreed upon the item condition migration. Susan will update the Data Migration Questionnaire section on this for our next data migration.

We found that we have many more item types than we may need. The group agreed that we need to reduce the number. Diane and Susan will work on this. Susan will touch bases with members of the Technical services workflow group for additional feedback on item types since, although they are used strictly for circulation, they will have to be entered into item records in technical services and this will be a new procedure.

Temporary Locations do not migrate. Susan will post a notice to cu-lib to this effect so that any non-reserve locations used for temp locations can be identified. Then, she and Diane will work with units on procedures for resolving problems. This group will need to work on procedures for reserve when we come up in June but this will be the time of year with the least number of reserve materials to process.

The group then discussed the various technical processing that is done by access services staff across CUL. Over the years that we've had NOTIS, many of the same procedures are performed by both technical services and access services staff for collection management. Our committee discussed this in detail and decided we will draft a list of these functions to forward to the Voyager Security and Technical Services Workflow committees. We want to ensure the same functionality without compromising the system. Susan described the presentation by the cataloging subcommitee scheduled for the Feb 29th task force meeting.

Security

Pat Schafer gave an overview of the security profiles entered in System Administration for Circulation so far. The committee reviewed the operator profiles and discussed various possible levels for staff and students in circulation across CUL. Pat said the Security Committee will be visiting the units in March to talk about security profiles. She and Susan are in the process of setting up circulation policy groups in the test database. Pat asked the committee to pay specific attention to the relationship of locations to circulation functions. This committee will be given security profiles so that we can begin testing circulation and reserve operations. We hope to have this in place by the March 2nd Academic Assembly.

We spent the remainder of the meeting viewing system administration tables such as calendars, policy groups and circulation matrices.
