Voyager Migration WG, Minutes of meeting 1/25/00

1. We reviewed the planning for the testing of the bibliographic/holdings/authority load next week. Jim had a clarification suggestion for the document on the website (http://www.library.cornell.edu/voyager/MigrLocs/MigTest1.html). Diane suggested a possible change in the instructions for downloading the Voyager clients for 99.1, based on some difficulties she'd had getting the clients in the proper file. Anticipating questions on downloading clients, Jim agreed to try to send the instructions out as soon as they're finalized instead of just in advance of testing.

2. We discussed a tentative list of in-house cleanup, some to be done manually, some programmatically. Diane asked Scott and Bill about the previously suggested fix to the decisions records, so that they would no longer be "Z" class codes. Because of some confusion about what answers had been given in one of the conference calls with the Endeavor programmers, Diane agreed to look at her notes and report.

3. Linda asked about the programming for the Vendor file, that had been discussed with Voyager previously but not finalized. Scott mentioned some information that he had gleaned at ALA about how their usual load worked. He was not happy about how that would show up for us, and Diane suggested that he and Linda write up a draft specification to be passed on to Voyager through Lynne (to determine costs), and be added to the list of special programs that we will be testing.

4. Scott passed out an acquisitions test plan he and Bill had been working on, and explained their method of finding example records.

5. Diane went over the locations testing process, and the need for help in adding locations before the testing can proceed. Scott and Bill agreed to help. Bill will add all the locations for Mann, Ent, Vet and
Geneva, and assist those libraries in setting up test plans. He will also collect the results and test the item types for the locations in question. Diane will send a reminder to CU-lib this week, so that units who have not begun setting up a test plan can be prompted to do so.

6. We discussed what information needed to be passed on to IMT about the migration testing. Most important was the caution that records in the test file MUST NOT BE CHANGED in any way while the bib/hold/auth and locations testing was going on. After that point, the trainers should be given first crack at the files. Only when they have determined their needs should the file be used as a sandbox for those setting up workflow and procedures.

The Migrators will meet next week, and share preliminary results of the first load tests.
