Voyager Data Migration Committee Meeting, 14 December 1999

There are still some issues pending from last week's conference call with Marlene Harris and Russell Thompson. Diane, Lynne Personius, and Scott will take these up in a follow-up call on Wednesday, the 15th. First, there is the question of loading "serials patterns" (as opposed to creating "pattern templates"). There seems to be some confusion on Endeavor's part over what it is we're asking for. Diane and Scott will suggest some options to Marlene and Russell and try to find out what is feasible from Endeavor's end. Possible strategies include: loading actual 85X/86X pattern data from a non-Voyager library (e.g. Harvard) or loading "pattern templates" from another Voyager library (e.g. LC).

We are also facing a problem regarding the ordering of 035 fields in BIB records. The Voyager batch import feature will only match on the first 035 $a in the local BIB record. For this reason, Endeavor routinely loads NOTIS keys in an 035 $9 to clear the way for OCLC import via the other 035. This would present a problem for us, though, especially for CJK and other work in which NOTIS, OCLC, and RLIN numbers may all be present and we need to import records in batch from RLIN. Diane will suggest that the RLIN number be defaulted as the first 035.

Linda and Scott are waiting for a response from Marlene on the best location for the university vendor "L" number and whether Voyager's "Institutional ID" field needs to be reserved for EDI purposes.

Scott will follow up on Endeavor's apparent inability to migrate copy statements with classification status "Z" (they are logged, but not migrated). We may need to recode such copy statements that we wish to retain prior to migation (e.g. by assigning them an otherwise unused classification type value).

Susan expressed concern over the limited number of item conditions and the possible need to develop a few more Voyager locations to accommodate some of our current conditions in NOTIS. Requesting new item statuses in Voyager would be an enhancement request. It was decided not to include this issue in the next conference call but to follow up on it soon. Susan will bring it up for discussion in Thursday's Voyager Access Services Implementation Committee meeting.

Diane reminded everyone to keep lists of outstanding issues, including those potential glitches that we'll want to fix locally prior to migration.

Jim gave a brief report on the status of the BIB/authorities/holdings test plan. He hopes to add the remaining cataloger-supplied test data to the spreadsheets on Thursday (12/16) and to have drafted his final SAS report requests by Friday (12/17). Twenty-three catalogers and catalog management personnel have been drafted to help evaluate the test in January. Scott and Bill reported that they have identified the test conditions for acquisitions testing, but still need data. Susan reported that because no circulation data is loaded in this first test migration, her group hopes to use it as an opportunity to complete a circulation configuration as a test run for the real setup. If they can also do another test migration of the patron load and set up circulation configurations, they will be able to test circulation situations. Susan remarked that this is an excellent opportunity to practice and learn before the real configuration setup. They will also want to test our patron file interfaces. The patron file subcommittee had a conference call with Marlene to go over some questions about the patron file SIF. Peter has drafted the first data set for the SIF and they will try to complete a migration of the patron file very soon to see how the data migrates. Diane hopes to have the test plan for locations set by the start of the holiday break.
