Notes from the 1/6/98 meeting

1) Travel Allocations
If we want to encourage staff to serve and participate in national forums, they must travel to attend meeting. Are we providing adequate support for this? We discussed a report from Lee detailing the changes to CUL Travel funding policies since 1988/89, an analysis of the money spent on conference and administrative travel since 1991/92 and information from Harvard, Emory, and Pennsylvania specifying the support these institutions provide to their library staff. The information in the report, indicates that we increased support for travel from a maximum of $800 to a maximum of $1000 for two conferences in 1992/93. This year the policy was changed to allow the $1000 to be used for a single conference. Based on the information from Harvard, Emory, and Pennsylvania, the support we offer appears to be in line with these other institutions. We agreed to ask Susan Markowitz to publicize to the staff the availability of travel funds and also the current travel policy which includes the need to send in a form providing advance notice of travel for professional travel. Sarah will also consider ways to provide additional support for new staff to attend their first conferences and for others who are giving papers.
2) External Funding Proposals
Sarah distributed a memo dated 12/26/97 to the ULMT and the heads of the unit libraries asking them to make sure that they inform her of their intent to request funding from outside the Library before they request the funds. This includes requests for university funds (from colleges, departments, university groups such as FABIT) as well as from agencies outside the university. The reason for this is to insure coordination within the Library so that no contradictory messages are delivered to potential funders and so that Sarah can support these initiatives and/or pursue additional initiatives. Ed will distribute information on the notification process.
