Agenda

Library to Library Delivery
Carmen Blankinship demonstrated the new library to library delivery service which will begin on Monday, January 26th, although it will not be publicized until access service staff can get a better picture of how much the service will be used and can work out unanticipated glitches with the system. There will then be much more publicity. The service allows for patrons to request that monographs (no reserve items or journals will be part of the system) from one CU Library to another. The turn-around time will be 2 business days. The service is available to all current CUL faculty, staff, and students but not to those with library cards (refers to cards that local people can purchase at Olin for $250/year)  or privilege cards (refers to cards that NY residents can get at Mann to use at Mann, ILR, Vet, and Entomology). Patrons may request materials by using the "requests" button in the OPAC. After logging in with a patron id and last name, choose "book delivery". Once a patron has requested an item, it is marked in the OPAC as "in process". Once the "sending" library receives the request, they will then get the item off of the shelf and ship it to the library that the patron chooses. When it is available, the patron will be sent an email notifying him or her that they may then pick it up.

Comments: It was pointed out that this will be a nice way for patrons in Ithaca to request books from Geneva and vice versa; There is a bug in the system which makes it difficult to distinguish between different copies of a book if CUL owns more that one copy of a title.

MyDocument Delievery
Jesse Koenneke demonstrated the MyDocumentDelivery System which also will begin on Monday, January 26. This service will allow anyone to request electronic delivery of Journal articles for titles held in Entomogy, Vet or Mann for a fee. It is part of the MyLibrary system.

Carmen Blankenship and Jesse Koennecke presented the process of book delivery between libraries. The patron will fill in an electronic request using the Iliad software.  Only circulating books are eligible for the service.  NO special location items.

Questions about the system can be directed to Carmen or Jesse.

Jesse Koennecke and Terry Kristensen presented the Pilot Document Delivery system for Mann, Vet and Entomology libraries. It is currently live, under MyLibrary, and anyone on campus may use it. There is a fee of $10 for delivering articles and book chapters.

It is possible to use a credit card or to set up a departmental account with a fund code.

There will most likely be an exempt category to whom materials would be delivered for free: i.e. disabled persons and materials from the annex.

Articles stay on the server for one month. At the present time, it is necessary to manually purge them.

Jesse is meeting with CUL accounting people to determine if we have to charge tax.

Paul McMillan announced that there will be changes to Find Databases Find e-journal page over the weekend. The default setting will be phrase searching rather than keyword, but the option to set it to keyword will still be there.

The Web Guides Working Group (Paul, Lance, Kornelia, and Angela) seek several volunteers to serve as advisors for their project. They are working to create a  semi-automated system for the creation of web-based bibliographies and subject guides, and are funded by the library's internal grant program. For more information, see Lance's earlier invitation that was sent to IRPC-L, or contact any team member.

Ed Weisman asked for input from the group regarding how we could be more involved in (or do a better job of) orientation. Sarah Thomas met with her Student Library Advisory Council last October and based on some of their comments, she asked Ed to look into orientation.

Comments:

  • outreach to new faculty is currently done by several units
  • postcards were sent to ALL faculty to remind them about our services--perhaps this could be done on an annual basis
  • instruction needs to be done at the point of need  (when term paper is assigned)
  • suggest that faculty add more on library to their web pages
  • what % of faculty use web pages?
  • what % use Blackboard?
  • collaboration between CUL/CIT is useful
  • U. of Rochester has customized pages for each course
  • http://www.library.rochester.edu/ "course resources and reserves"
  • Ed can report to Sarah that we are already doing a lot

Miscellaneous
Nan Hyland mentioned that IRPC will hold a Retreat on the morning of March 22nd in Warren Hall 401.In 2003, the theme was "Digital Reference", in 2004 the theme will be "Outreach" and in 2005 "Information Literacy". The event may have a showcase for materials as well as speakers.

Nan gave a brief update of what is happening with ERIC. The Department of Education has stopped adding records to ERIC. They are looking for a private contractor to take over, but there will be a gap in coverage. ERDS will continue to provide full text through June.

Bob Kibbee asked for responses to President Lehman's Call to Engagement.  In response to "How should we collaborate?"
