Library Management System Evaluation Committee

LMS Meeting Notes, 3/31/97

We devoted most of the meeting to two issues: coordination with CIT and its plans and the Committee's need to make a library-wide presentation soon.

CIT
Nancy Vanorman gave a brief rundown of the state of CIT's internal organization, which is only now coming together, and suggested that, in a sense, we are getting in on the ground floor since CIT is discussing its directions at the same time that we are evaluating a new library system.

Nancy has been keeping CIT informed, especially the so-called "Back Office Group," of library deliberations. However, Lynne has been urged to establish more formal contacts. We resolved to: establish a web site with relevant documents and advertise its availability to CIT and to try to get onto the agenda of the monthly CIT senior administrators' meeting. We will also try to broaden CIT representation on the Evaluation Committee, ideally with a member from each of CIT's three large divisions. In answer to how we might become more familiar with CIT planning, Nancy suggested that Lynne or Bill Turner begin to attend the "Back Office Group" meetings and report back to the Evaluation Committee. We would, in turn, include relevant comments in our minutes.

Library Presentation
The end of the first round of vendor evaluations, mid-May, seems the most appropriate time to schedule the presentation. By that time, library staff will have had the opportunity to read the documents posted on the Internet and have seen the vendors' demonstrations for themselves.

We agreed, also, that a small panel of Committee members, making brief presentations-- half an hour-- and an equal amount of time set aside for audience questions would be optimum. The presentations would stress technological, technical services and public issues under consideration for the new system and financial, personnel and opportunity costs of maintaining NOTIS in the future.
