LMS Meeting Notes, 4/28/97
Lynne began the meeting by distributing copies of the combined requirements document and Endeavor's Voyager Library System Proposal for Cornell University. Endeavor's proposal included the pricing for their software and accompanying server hardware;individual workstations were not included.
Lynne announced that the main agenda item for the meeting would be a discussion of the process for turning the requirements document into a RFP. She informed the Committee that she had requested copies of SUNY Buffalo's and SUNY Binghamton's RFP's so the Committee could review them. We also decided to look at RFP's that have recently gone out from other departments at Cornell.
Why Produce an RFP?
The process for turning the requirements document into an RFP--- We agreed that our requirements document could be used as an RFP with some editing and an explanatory cover letter. We decided that we would not include lists of questions for vendors in the RFP.
We agreed that we would all look at Diane's Web version of the requirements document (Diane made some editorial and style changes) and if it meets our approval, Lynne would draft a cover cover letter which would tie the requirements document together. Lynne will also post a message to CU-LIB and to the members of the SMG reminding everyone about the Evaluation Committee's web site, and asking for input on the requirements document by May 15th.
After we incorporate any additional comments or suggestions from the CUL community, and after the Committee reviews the draft of Lynne's cover letter, the RFP would be forwarded to the SMG--- the SMG will be asked to distribute the RFP to the original list of 8 vendors.
