Library Management System Steering Committee

Notes from the meeting, July 9, 1997

Attending: Ross Atkinson, Lee Cartmill, David Corson, Gordon Law, Catherine Murray-Rust, Lynne Personius, Pete Siegel, Sarah Thomas, Ed Weissman

Absent: Claire Germain, Tom Hickerson, Zsuzsa Koltay

1. RFP
Lynne distributed a revised version of the functional specification with a list of functions on a separate sheet by which vendors can be ranked. Purchasing will be adding the non-technical legal issues to our functional specification to create the final version of the RFP. This along with a cover letter will be sent to the vendors. The cover letter will state that to be considered systems must have the following fully operational modules, as represented in the functional specifications: Access Services, Acquisitions, Cataloging, Collection Development, Fund Accounting, Reference/OPAC, and must satisfy the technical requirements. It will also state that if the vendor can not meet all the requirements, it can join with other vendors to present an integrated package. We will, therefore, send the RFP to "component" vendors, such as Informix, IBM and OCLC.

2. Legacy System Contingency Planning
Pete suggested that Lynne get together with Mariann Carpenter to plan how best to gather critical data to effectively monitor system performance when the fall semester begins. Mariann's group has a number of tools available to do this.
