Notes from the meeting, September 18, 1997

Absent: Gordon Law, Lynne Personius, Pete Siegel, Sarah Thomas
Tom chaired the meeting in Sarah's absence. Kathy Chiang attended her first meeting as the replacement for Zsuzsa Koltay.
Tom reported that eight vendors had sent in responses to the RFP. They are:
Tom will meet on Tuesday with the Evaluation Committee. He will propose that each response be broken down into its functional components and that each functional subgroup receive its component along with the summary information. The subgroups will be asked to rate its function as either:
1) meets requirements
2) partially meets requirements
3) does not meet requirements
and to report back to the Steering Committee, hopefully within around two weeks. The Steering Committee will then review the information in order to select the set of vendors we will invite to campus. The goal is to try to schedule the visits in November and December.
We discussed the uncertainty that remains with regard to funding and implementation date but there was broad agreement that the best strategy was to move ahead with the process. Helen said that the sooner we had a project plan ready and a statement about the size and nature of the project team needed (self-contained within the Library OR requires support from outside) the better. This information will make it easier for CIT and the university administration to make a commitment to the Library about a specific implementation window.
Finally, Tom said he would ask Glenn Morey for guidelines regarding the confidentiality of the information in the RFPs and ask CIT to replace Nancy Vanorman, who has changed jobs, on the CIT Operations/Project 2000 subgroup. [Nancy Vanorman has been replaced by Gary Buhrmaster.]
